Duties and Responsibilities

  • Coordinate and manage appointments for clients and internal staff efficiently across various time zones.
  • Utilize scheduling software to update and maintain accurate appointment details.
  • Communicate effectively with clients and staff via phone and email to confirm appointments and reschedule if necessary.
  • Handle multiple calendars and ensure there are no scheduling conflicts.
  • Provide reminders for upcoming appointments to relevant parties to optimize attendance rates.
  • Monitor and report on appointment status, providing updates to team members as needed.
  • Review and suggest improvements in the scheduling process to enhance efficiency.
  • Respond to scheduling related queries and resolve issues promptly to ensure client and staff satisfaction.
  • Participate in team meetings to discuss updates, challenges, and workflow improvements.
  • Ensure confidentiality and security of all communication and documentation.
  • Adapt to new scheduling tools and technologies as they are integrated into the company infrastructure.
  • Maintain a proactive stance in understanding project requirements and deadlines to mitigate potential scheduling conflicts.

Requirements

  • High school diploma or equivalent; further education or certification in office management is a plus.
  • Proven experience as an appointment scheduler or a similar role involving administrative coordination.
  • Strong familiarity with scheduling software like Microsoft Outlook, Google Calendar, and other calendaring tools.
  • Excellent communication skills, both verbal and written, with an emphasis on timely and empathetic communication practices.
  • Ability to manage time effectively and multitask without compromising quality or accuracy.
  • Strong organizational skills and attention to detail to manage schedules efficiently.
