LOCATION: This is a remote position and can be based from any location within the United States.
About The Job The Tepa Companies are seeking a Project Coordinator who will provide support to project management and engineering staff by providing office services, implementing administrative systems, procedures, and policies, and monitoring administrative aspects of projects. The Project Coordinator ensures the efficiency of the day-to-day operations of the engineering staff and office and supports the work of management and other staff.
Job Functions
- Answers general phone inquiries using a professional and courteous manner.
- Replies to general information requests with accurate information.
- Greets clients/suppliers/visitors to the organization in a professional and friendly manner.
- Uses computer word processing, spreadsheet, and database software to prepare reports, memos, and documents.
- Provides secretarial and administrative support to management and other staff.
- Makes travel, meeting, and other arrangements for staff.
- Assists and supports Program Managers, Engineers, and Project Managers, providing clerical-level engineering services for the Engineering Business Unit.
- Assists the Project Manager through the close-out of their project.
- Ensures both company and client standards are met during the project.
- Monitors man-hours and expenditures throughout the project to determine progress, and cost per deliverable, and provide weekly cost summary reports.
- Works closely with project controls to ensure time and expense entries are valid, and that Project Activity Reports are reviewed and submitted promptly.
- Supports Project Managers with tracking project financials and schedules.
What We're Looking For - High school diploma
- 1-3 years experience in an office setting
- Post-secondary education in business, computers, or office management experience
- Proficient with Microsoft Office suite
- Ability to be resourceful and proactive in dealing with issues that may arise
- Ability to organize, multi-task, prioritize, and work under pressure
- An effective communicator with excellent relationship-building and interpersonal skills
- Must be proactive and be able to pay keen attention to details
- Must be able to manage time effectively and meet deadlines
